WordPerfect Office has always been a viable office suite but is often overlooked and eclipsed by MS Office when considering office suites. I personally have been using Lotus SmartSuite for years (an even more obscure packages these days), so I likely will have a different perspective than most people who try WordPerfect Office. I have used WordPerfect in the past, and though some of the features are familiar and comfortable, there are some appreciable differences between this version and the versions I used in the past.

Rather than address the whole suite in one paragraph, I will discuss the different applications individually. Obviously the applications integrate and communicate with one another so I will not spend too much time discussing that.

Obviously, the crown jewel of WordPerfect Office X4 is WordPerfect. WP has always been a very capable and reliable word processor, designed to be clean, clear and easy to use. Even sitting at a blank document after starting the application, the interface is clean and relatively intuitive. I especially like the visible margins that can be dragged and dropped right on the page, as well as the slidable tab stops and indent markers. The basic word processing functions are all readily available in the default toolbar and there are more toolbars that can be turned on and off. Complex functions and advanced features are available through the menu system. Adjusting setting is pleasure through the semi-graphic settings dialog, and everything I sought was well organized and straightforward.

I have imported some Word documents into WP, and the import is accurate in the majority of cases. Sometimes there is a slight reformatting that makes things look a little funny but it requires only a minimum of adjustment to correct. The only disappointment for me is that I could not import Lotus WordPro documents as well, but such is the price one pays for using older, obscure packages such as SmartSuite.

I have also imported PDFs - this office suite touts the fact that it can import PDFs so I have been putting that claim to the test. The imports are largely successful, save the occasional formatting glitch. For exporting, though, I have yet to see it mess up, though I have not tried to export anything complex to PDF. There seems to be little need for Acrobat with this suite, though the reader is still handy.

Quattro Pro is the spreadsheet application that comes with this suite, and it performs remarkably well. It is a fully capable program that can put together complex spreadsheets that are on par with that of Excel. And, it does an admirable job with importing and exporting too. It can import Lotus 123 spreadsheets as well, which is helpful to me.

Both WP and Quattro Pro have XML import/export capabilities too, which adds to their value if you need to work with XML.

A really interesting feature to me is WordPerfect Lightning, a virtual file cabinet for storing sticky notes, pictures, documents and other bits and pieces of information. It is similar in concept to Microsoft OneNote, though not as visually stimulating (or overwhelming). Corel kept it simple and as such the main window is more or less a tree view of documents that have been saved therein. Built in is a screen capture tool as well as a miniature editor for writing quick notes, and there's an interface to WordPress. This is absolutely one of the features of WordPerfect Office that I appreciate - I have always liked this kind of tool and I will be using it a lot to keep my stuff organized.

Presentations is the Corel equivalent of PowerPoint. I will confess to having not used this much, though I have tried importing PowerPoint slide shows. The import worked for the most part but some of the special effects are lost when the import took place. Otherwise, it appears to offer the same base feature set as PowerPoint.

WordPerfect Mail is the equivalent of Outlook. I am no fan out Outlook, so this application was worth a try. I found it to be functional and capable, though it does not have the same volume of features of Outlook. Then again, it does not have the same bloat problem Outlook has either. It bears a striking resemblance to Outlook Express, though the interface is slightly more cluttered and busy. It has built-in Bayesian spam filtering and a built-in calendar. It does NOT have a newsreader though, which is unfortunate but not unexpected. While it's a nice application and it is suitable for what I need, I do not feel compelled to adopt this application.

An extra application in the box is Corel Visual Intelligence, a strange beast that can be used to analyze data and prepare data relationships. While I have looked at it and it is an attractive application, this is not something I need and really did not give it a close look.

Included with the suite is a plethora of document templates, fonts, graphics and other goodies, as well as a training CD.

WordPerfect Office X4 is a very capable and admirable suite of office tools. It claims to be compatible with MS Office, and it is. It's Adobe-friendly too, which will present a cost savings. There are a lot of extras packed in to the package and a good help system to assist. Overall, this is an excellent package with outstanding value and I can recommend it heartily - I am making the switch.

The Good:

* Easy installation
* All essential word processing, spreadsheet, and presentation functionality is included
* Programs perform quicker than MS Office counterparts
* Visual Intelligence (30 day trial of Professional features) provides advanced reporting capabilities

The Bad:

* Poor support for all but the simplest PDF files
* Extremely poor interoperability with MS Office documents
* No support for MS Exchange e-mail access
* WordPerfect MAIL only supports a subset of MS Outlook features

Bottom Line:

WordPerfect Office X4 will satisfy basic office needs in a standalone or homogeneous environment, but despite its claims to the contrary it does not play well with MS Office files. My detailed review based on my usage of the various components follows.

BACKGROUND:

I have used Microsoft Office in various flavors for over 10 years. I have also briefly tried OpenOffice. My machine is a Gateway CX-2610 laptop running XP Tablet PC Edition and Microsoft Office 2003 Professional. I am not a fan of Microsoft, but it is the de facto standard by which others must be measured.

INSTALLATION - Grade: 4.5 Stars

Novice users may be intimidated by the bare minimum instructions for installing the base Office software. CD1 tells you (in paraphrase) to insert the disk and follow the instruction prompts. The license key was located on the sleeve for CD1, but there was no prompt to look for it there. From there you land on a screen with three tabs. The first two allow you to choose the components (WordPerfect, etc.) and specific features for each component. By default all components and features are selection accept for the Non-English writing features. Finally, there are options in a third tab that let you set features such as making WordPerfect MAIL your default e-mail client. The Corel Visual Intelligence and the WordPerfect OfficeReady Browser installs a quick and easy. Total install time was under 30 minutes while this configuration consumed just under 1 Gb of space. As a final note, registering the product when prompted entitles you to a bonus set of clip art.

BASIC USAGE - Grade: 4 Stars

For basic word processing, spreadsheets, and presentations, you should find this software to meet your needs. I didn't come across any glaring missing features. Each of the applications seemed to respond fairly quickly compared to their MS Office counterparts. The one item in the base product that comes up short is WordPerfect MAIL. I was able to configure my Gmail account using IMAP with no issues. However I was unable to connect to by Google Calendar. In addition, although minor, the week view of the calendar did not allow you to change the first day of the week. I prefer to start with Monday so that the weekend days are together at the end. Oddly this simple feature was omitted. Finally, I was able to export my contacts from Gmail into a CSV file and import them. It is also worth noting that the Journal, Task, and Note options of MS Outlook are completely missing. It doesn't WordPerfect MAIL doesn't really complete.

TUTORIALS - Grade: 3 Stars

While the Guidebook tutorials are OK, most of the item choices will only be useful to the most novice of users (see How to Create Bulleted Lists). There are also occasional steps missing that will confuse some users. The [...] CD of tutorials is not bad, but it did not autorun on my computer leaving me to guess where to start. You shouldn't have to guess on tutorials.

EXTRAS - Grade: 3 Stars

In order to pry people away from MS Office, price will probably not be enough in most cases. So it falls to the add-ons that don't have MS Office equivalents to differentiate WordPerfect Office. Here's a look at working with PDF files, Visual Intelligence, and WordPerfect Lightening

* PDF Files - Grade: 1 Star
When reading about this version of WordPerfect, one of the items I saw that had great potential was the ability to import and export PDF documents. Unfortunately, this had mixed results. The import process takes about the same amount of time that importing a document from MS Word (for more details on MS Office Interoperability, see below). I tried importing a PDF document, making some minor changes (text only) and then republishing the document to PDF. The resulting document had significantly different formatting in terms of font size, formatting, and missing graphics. I played around with the import options, but never got promising results. This is a feature that is not ready for primetime yet.

* Visual Intelligence - Grade: 5 Stars
This looks to be a powerful tool in a business environment. This tool can import data from spreadsheets (either Excel or Quattro Pro format) or using an ODBC connection. Spreadsheets have to be in a specific format with the first row being column headers followed by detailed data rows. This may require some messaging of standard spreadsheets that you have. I was also able to run a query against the Northwind MS Access database from the MS Office samples folder. With the abundance of ODBC drivers, you should be able to hook up to any database in your environment. One item of note is that you only get a 30 day trial of the Professional features, and you are required to shell out an additional $99 for a full license. Otherwise the ODBC integration goes away, and you will be constrained in how large your spreadsheets can be that you import. I did find one minor annoyance. The "open file" option does not remember the location of the last file opened and defaults to "My Documents" whether this is the first or fiftieth document you've opened. Granted this is a very minor issue for a 1.0 product.

* WordPerfect Lightening - Grade: 3 Stars
I'm not sure where this tool adds value. It is a combination of Google Notebook, Adobe Acrobat Reader, and WordPerfect. When I tried to create an online account, I repeatedly got an error that it was unable to perform online communication. Otherwise the tools function adequately, but it isn't really special.

MS OFFICE INTEROPERABILITY - Grade: 1 Star

Unless you plan to use this product in isolation, it is going to have to place nice with file created by its MS Office counterparts. Rather than use the samples that Corel included, I chose a sample set of files from work created in Word, Excel, and PowerPoint (all from the 2003 versions). Importing into WordPerfect Office only worked for the simplest of documents. However if your file has graphics of any complexity, they get trashed in the conversion process. While Microsoft is probably much more to blame for this, Corel chose to attempt solving this problem. There are probably steps that you can take to make this work better, but these really fall to the classic axiom: "If it's not easy, people won't do it." As a final grain of salt in the wound WordPerfect MAIL has no support for connecting to an MS Exchange server so you won't be reading your corporate e-mail. For most people interoperability will be a show stopper, and I weighed it heavily in my star rating.

Corel's office suite products have always been better designed than Microsoft's and far less buggy, but Microsoft has always had a larger market share. Thankfully, you can open Microsoft documents using Corel and save in those formats also. But, often a lot of formating and data gets lost in the process. With this newer version of the software, a lot of that loss is now limited. I also like the improvements that they've made by integrating the use of PDF throughout the app. This eliminates the need to go out and pay hundreds of dollars for the Adobe Acrobat suite if you you're the type that will only be creating PDFs occasionally or for limited means. What I especially love about this software is that they have made it compliant with Windows XP. This is definitely good for those of us who aren't quite ready to jump on the Windows Vista boat and are still comfortable with out current operating system.

WordPerfect and Quattro Pro were my word processor and spreadsheet software packages for several years before MS Office came to dominate the work environment of corporate America. I finally gave in and switched over to MS Office only when my company let its employees take advantage of Microsoft's plan by which company employees were able to get a copy of Office software for home use at a tremendously discounted rate. It was not a change that I was necessarily happy with but it seemed the easiest way to go once I had started bringing so much work home with me on a regular basis.

Consequently, it's been several years since I've taken a look at the WordPerfect or Quattro Pro software included in WordPerfect Office X4. After spending a few hours with WordPerfect Office X4, and seeing how seamlessly WordPerfect and Quattro Pro import MS documents, I can already see that I will be using WordPerfect Office X4 for home use from now on.

The WordPerfect Office X4 installation process was flawless and was completed in just under ten minutes. Even without taking advantage of the enclosed training videos or the ninety-page guidebook, I found it easy to tour the entire software package, including applications I was seeing for the first time. In fact anyone familiar with MS Word or Excel will be up and working effectively in WordPerfect and Quattro Pro in a matter of seconds.

I am particularly impressed with WordPerfect's ability to instantly publish its documents in PDF format as well as to import existing PDF documents into the software for editing purposes. The function works well in both directions but is particularly impressive when used to create new PDF documents. I have yet to have a Word document fail to load perfectly in WordPerfect and with WordPerfect's ability to save its own documents in Word and numerous other formats there is no need for compatibility concerns at all.

And the same can be said for Quattro Pro because import of Excel documents is immediate and 100% accurate. I was happy to find that Quattro Pro still does not require the use of an "equal sign" for calculations made within a single cell because that quirk in Excel has always irritated me as being a useless waste of time. (A minor quirk, but one that has bugged me for years.)

My first exposure to WordPerfect Lightning leads me to believe that this is a tool I will be using often as I become more familiar with it. It is an excellent way to store notes made on the fly, pictures, whole documents, web page screen shots, and the like. The built-in screen capture function is particularly intriguing since it makes it so easy to capture only that portion of the screen which is of interest and does it all so intuitively and quickly. This bit of software is both useful and fun to use.

Of less importance to me because I seldom have need for it, is Presentations, Corel's equivalent of PowerPoint. I haven't taken a detailed look at Presentations but it appears to function very similarly to PowerPoint and does have the capability of importing MS PowerPoint documents.

WordPerfect Mail is part of the suite and is something I plan to take a hard look at in the next few days but, since I don't use MS Outlook anyway, it is not a part of the suite that I will necessarily be using in future.

My several hours of exposure to WordPerfect Office X4 have convinced me that this is a superior piece of software, one that offers more than MS Office, and one that I will be using at home from now on. Those in the market for new office suite software will do well to consider WordPerfect Office in place of the more dominant MS Office. For numerous reasons, they will be glad that they did.

Many marvel at the longevity of WordPerfect but the truth is, it was always ahead of its time. Having begun my word processing life with the classic "blue screen" of WordPerfect 5.1, it quickly outpaced the competition.

When Microsoft Word came on the scene however, WordPerfect began to suffer. It was true that Word 97 was actually easier to use than its WordPerfect counterpart. Many concluded that WordPerfect was on its way out.

So how did it manage to hang on? Lawyers. While it may seem that the entire world was using Microsoft Word, the vast majority of law firms used WordPerfect - all the legal secretaries were trained using WordPerfect and the legal profession is allergic to change.

WordPerfect began to cater to the legal user - with the feature which automatically generates a table of contents, table of cases and table of authorities. WordPerfect was also there when the United States District Courts began mandating electronic filing in pdf format. It was WordPerfect (and not Word) which first implemented the feature which allowed the user to publish documents to pdf format (without the need of a scanner or Adobe Acrobat).

Still, there was resistance to WordPerfect because, for many, Word was easier to use. WordPerfect X3 changed all that. X3 went so far as to allow the user to configure X3 to behave EXACTLY like Word.

Which brings us to X4. While the folks at Microsoft have taken the regrettable step in Office 2007 to switch to the .docx document format, WordPerfect X4 still fosters interoperability - again behaving like Word and even converting .docx documents.

Why is .docx so regrettable? Most people do not pay much attention to how they save a document. In Office 2007, Microsoft has now changed its standard from .doc to docx. The positive (I guess) is that a .docx file takes up less space on the hard drive. The negative (the big negative) is that .docx is not backwards compatible - meaning, someone using Office 2003 cannot open a .docx file - only users to Office 2007 or other consciously interoperable programs (Like WordPerfect X4).

And unlike the obtuse approach Microsoft has taken to .docx a WordPerfect document created in X4 can be opened in X4, in X3, and in WordPerfect versions dating all the way back to WordPerfect 6.

One of the most incredible features X4 adds is built-in advanced pdf capabilities. Now, you can actually open pdf documents right in WordPerfect. In addition, it has OCR feature which will actually convert to text pdf documents which were scanned. Again, for the legal community, this is an invaluable tool.

Why should X4 cross over intothe mainstream? Frankly, because it is better than Word. It is easier to use. It is exceedingly interoperable. In short, it does everything Microsoft Office does - only better.
